Policies and procedures for the staff of Parsons Music Library

Fines & Fees

The library doesn't charge fines for most overdue materials, but we do charge a replacement fee for lost or badly damaged items.  Alma will automatically declare an item "lost" if it's more than 20 days overdue, and will notify the borrower that they are being charged a replacement fee.  If the borrower brings the item back to us in good condition, we will waive the fee.  We would much rather get our materials back than collect the money!

Payment of Fees in Alma

1. Click the Fulfillment menu
2. Click Manage Patron Services
3. Scan the patron’s ID or enter their name
4. On the right side of the screen, under their name, there should be a dollar amount next to “active balance.”  Click the gray Pay button.

5. Choose a payment method from the drop down box (cash or check are the only options)
6. Enter the payment amount and click Send

This can only be done at Boatwright Library.

Patron Disputing a Fee

Student employees are not permitted to waive or reduce library fees. If a patron thinks a fee has been wrongly assessed, refer them to Linda or Melanie.

Student Employees' Library Fees

Under no circumstances should a student employee make any changes to their own library fees in Alma. Doing so may result in immediate termination. If you need to pay a library fee, ask another student employee or library staff to handle the transaction for you.

Food and Drink Policy (BASIC INFORMATION)

Library users are permitted to bring food and drink into the library, but are asked to have consideration for other users and for library materials.  Trash should be disposed of in the trash and recycling bins, and spills should be cleaned up immediately (there are paper towels in the restrooms across the hall).

Frequently Asked Questions

1) Do you have (piece of music)?
Ask whether they want a score, recording, or video. Use OneSearch and check the Catalog Searching page for help. If the item is not found, always refer to Melanie or Linda. Never tell a patron that we don’t have something unless Melanie or Linda tells you to do so.

2) Where is (Room B207, practice rooms, Music Dept. office)?
Both room B207 and the practice rooms are down the hallway to the left of the Music Library if you're facing our door.  The Music Office is downstairs and to the left. For other locations, use the campus directory or the online campus map.

3) What hours are you open?
Hours for the entire academic year are posted on the side of the tan cabinet to the left of the small desk, and also in Blackboard (SCHEDULES & HOURS --> LIBRARY HOURS). Hours for Boatwright can be found in these same places. Current Music Library hours are posted on the front door.

4) How does this equipment work?
There are instruction sheets for the A/V equipment in each group study room.

5) Where are the (jazz CDs, piano music, etc.)?
Outlines of the shelving system are in the display boxes on the pillar across from the circulation desk. Please note that there are different outlines for scores/recordings and books.  There are also posters about the call number system on the ends of three of the book/score shelves.

6) Why can’t I find this item on the shelf?
First, check OneSearch. Did the person copy the call number down correctly? Is it the type of item that they think it is? (book vs. score, LP vs. CD, etc.)  Is it already checked out? Is it on the New Items Shelf?  Is it on reserve? Is it a miniature score or oversize item? (both are shelved in separate locations)  Is it an electronic item rather than a physical item?  If it seems like it should be on the shelf, go with the person to look for it.  Also look to the right and the left of where the item should be. If you still can’t find it, record basic information (the person’s name and contact info, the item’s call number and title) for Linda or Melanie to follow-up.

7) Where can I get information about (composer, song, etc.)?

  • Use online resources like Grovemusic or the All Music guide (on the Music Research Guide web page)
  • Use OneSearch, and basic reference books: Harvard Dictionary, Baker’s Biographical Dictionary, etc. (located along the wall in the reading room).
  • If not found, refer to Melanie or Linda

8) Do you have any music for (flute, clarinet and piano, etc.)?

Try OneSearch, using the instrument names as keywords, and then filtering your results to scores.  You can also check the posters on the ends of the middle score shelves, which break down our call number system.   If not found, refer to Melanie or Linda

9) Where are Dr. Love's and Dr. Fillerup's offices?
Both Dr. Love and Dr. Fillerup have offices within the Music Library, close to the Booker doors.  Dr. Love is in room W201C (next to Linda) and Dr. Fillerup is in room W201E (next to Dr. Love).

10) Where is Dr. Jeannine Keefer's office?

Jeannine Keefer, the Visual Resources Librarian, also has an office within the Music Library: room W201F, next to the DVD shelving.  But she also spends a lot of time at Boatwright Library.

11) Can I donate something to the Music Library?
If someone wants to donate something and the Music Librarian is not available, politely state that you are not authorized to accept donations on behalf of the library, but that the Music Librarian would be happy to discuss the matter with them. Get the person’s name and phone number, and give him or her Linda’s business card (on the circulation desk). UNDER NO CIRCUMSTANCES SHOULD YOU ACCEPT A DONATION OF ANY SORT.

12) I am not a UR student/faculty member/staff. Can I still use a computer?
The University has a guest network called VisitUR, which allows non-UR people to get access to the internet.  This does not include access to library databases or other subscription resources.  If this access is not sufficient, people without a UR net ID can request a temporary (24-hour) computer guest account from Linda or Melanie. If neither is here, call Boatwright Library (289-8876) to see if staff can accommodate them over there. If the person just wants to use the catalog, offer to look up the item for them yourself.

Friends of the Library

The Friends of Boatwright Library is an organization that "acknowledges the central importance of the Library to the intellectual and cultural life of the University of Richmond and strives to increase public awareness of the wide array of resources and services available through the Library, to expand success to these programs, and to encourage generous giving in support of our excellent Library."  Even though they're named for Boatwright Library, they support Parsons Music Library as well.

A Friends membership card allows the holder to borrow five items at a time, including DVDs (but not videocassettes), from the university's libraries. A regular membership costs $35 per year, while a student membership is $5 (student memberships are for UR students only, not students at other institutions). Click here for more information.

If someone wants to join the Friends of the Library, please refer them to Melanie or Linda.  If neither is available, send the person to Boatwright Library.
